Privacy

An accident record contains some of the most sensitive information you will ever give a website. This page explains exactly what Crash Guide collects, why, where it goes and what control you have over it.

Crash Guide is pre-launch. This page accurately describes how the platform currently works, but it has not yet been settled by Australian legal counsel and should not be relied on as a final legal instrument. It will be updated before public launch.

What we collect

Crash Guide collects only what is needed to help you work out what to do after an accident, and to produce your Action Plan. Depending on how far you go, that can include:

  • What happened, in your own words, and when and where it happened
  • Your name, email address and mobile number
  • Your vehicle details — registration, make, model, insurer, level of cover and whether it is driveable
  • Details of other parties involved, which you provide — names, contact details, registration numbers, insurers and, where you choose to record it, licence information
  • Whether anyone was injured, and the symptoms you describe
  • Whether police or an ambulance attended, and any reference number
  • Passengers and witnesses, where you tell us about them
  • Photographs and documents you upload
  • Your location, only if you explicitly grant your browser's location permission. You can always type the location instead.

Why we collect it

To organise your accident into one record, to generate a personalised Action Plan, and — only where you specifically ask us to — to connect you with a service provider who can help with a particular need.

Evidence uploads

Photographs and documents you upload, including any image of a driver licence, are stored in private storage. They are never placed in a public folder, never given a guessable web address, and are not accessible without an authorised, time-limited link. Uploaded files are validated by inspecting their actual contents rather than trusting the file name or the type your browser reports.

We ask you to upload only what is relevant to the accident and that you are reasonably entitled to retain.

AI processing

The Accident Assistant is powered by a third-party large language model. What you type in the assistant, and the structured record built from it, are sent to that provider to generate a response.

Your uploaded photographs and documents are not sent to the AI provider. The assistant never sees your evidence files.

Disclosure to service providers

Crash Guide does not share your details with any provider unless you specifically ask it to, for that specific type of service. Consent is asked separately for each category — agreeing to be contacted about a replacement vehicle is not agreement to be contacted about anything else.

Where you do consent, the provider receives only:

  • Your name and the contact details you gave us
  • The suburb, state and postcode of the accident
  • The service you asked for help with
  • A small number of relevant facts, such as whether the vehicle is driveable or used commercially

Providers do not receive your photographs, your licence images, your injury details, other parties' personal information, or the full accident record.

Consent records

Every consent decision is recorded, including the exact wording you were shown and the version of that wording, the date and time, and the category it applied to. A refusal is recorded just as carefully as an agreement.

Analytics

Where analytics are enabled, Crash Guide records only the shape of the journey — which pages were visited and which steps were completed. No names, contact details, licence numbers, registrations, accident descriptions, injury information or accident references are ever sent to an analytics provider.

Storage and security

  • Your accident page is reached by a high-entropy private link, never a sequential ID
  • Evidence is stored privately, with random storage keys and no personal information in file names
  • Administrative access to an accident record is logged and attributable to an individual
  • Login attempts to the administration area are audited
  • All traffic is served over HTTPS

Keep your accident link private. Anyone who has that link can see that accident record.

Access, correction and deletion

You can ask us for a copy of your accident record, ask us to correct it, ask us to delete it, or withdraw a consent you previously gave. Contact us and we will action it.

Retention

Crash Guide is deliberately not publishing fixed retention periods yet. We are not going to state a number before the policy behind it has been settled and reviewed, because a retention promise we cannot keep is worse than no promise at all.

What we can tell you now: an incomplete draft accident that you never saved is treated differently from a record you asked us to keep, and you can request deletion of either at any time.

This page will be updated as Crash Guide develops, and will be reviewed by Australian legal counsel before public launch.
